Dashboard

Dashboard - Community Transport

The dashboard is the starting point of our community transport application.

From here you can quickly see active members, bookings that require drivers to be selected, drivers whose licences are due to expire and membership renewals.

Bookings

Bookings List

The bookings list view has been created to give you the information you need to manage new bookings and review what is happening with current bookings.

Each booking request follows the same workflow

  1. New bookings - All booking requests will start off as new until you mark their status as ready
  2. Driver Required - Once a booking becomes ready they will exist in driver required until a driver has been assigned to the job.
  3. Ready - Once a driver has been assigned and everything is filled out as required the booking will exist in the ready view. This view will show a visual of all pickups required today or in the future
  4. Overdue - If any bookings are'nt completed before the pickup dates then they will exist here until they are completed
  5. Not Billed - Any bookings that have not yet been paid for will exist here making it easy to find any billing that hasn't been taken yet.
  6. Completed - This is the booking archive. Any completed bookings will remain here for you to recall as needed.
Bookings Form

The booking form is the primary form of the application, from here you will create any bookings for pickup and drops offs. This data form brings in information from all parts of the system to give you a simple yet effective tool to plan your community transport group.

The first section of the booking form is for you to enter the date of the booking, who the booking is for and it's purpose, which vehicle and driver is assigned, the total number of passengers and if a return trip is required.

The Pick up and Drop off section is used to fill in the location and required time for the stage of the journey.

The billing section is used to complete the business side of the booking. Here you can add the fare, funding services and any volunteer hours for reporting on at a later date.

Booking Diary

Bookings Diary

The booking diary gives you a quick and easy way to view what jobs are coming up, you can view the diary by month, week or day. Any bookings shown on the diary are clickable and will take you through to the booking form.

The passenger list gives you a quick and simple way to find information on current passengers and the ability to add new records. The quick search option will search every column visible and show any record that contains the search term entered.

Passengers Form

The passenger input form is used to create, view and edit passegner related data. It will also display a list of journeys associated with the passenger.

Drivers

The driver list gives you a quick and simple way to find information on current drivers and the ability to add new records. The quick search option will search every column visible and show any record that contains the search term entered.

The driver input form is used to create, view and edit driver related data. It will also display a list of journeys and holidays associated with the driver.

Vehicles

Vehicles

The Vehicle list gives you a quick and simple way to find information on current Vehicles and the ability to add new records. The quick search option will search every column visible and show any record that contains the search term entered. The colour used for diary entries can be changed per vehicle.

Vehicles Form

The Vehicle input form is used to create, view and edit Vehicle related data. It will also display a list of journeys and maintenance jobs associated with the Vehicle.

The locations list gives you a quick and simple way to find information on current locations and the ability to add new records. The quick search option will search every column visible and show any record that contains the search term entered.

Administration

Administration Manager

Logins

In this section you can add new system login accounts and edit or remove existing ones.

Purposes

In this section you can add new trip purposes and edit or remove existing ones. Any items created in this section will appear on the Purpose field within the booking form

Aids

In this section you can add new Aids and edit or remove existing ones. Any items created in this section will appear on the Aids field within the passenger form

Disabilities

In this section you can add new Disabilities and edit or remove existing ones. Any items created in this section will appear on the Disabilities field within the passenger form

Funding Streams

In this section you can add new Funding Streams and edit or remove existing ones. Any items created in this section will appear on the Funding Streams field within the booking form

Funding Services

In this section you can add new Funding Services and link them to a Funding Stream and edit or remove existing ones. Any items created in this section will appear on the Funding Services field within the booking form

Scheduled Bookings

In this section you can view any recurring bookings and make changes or remove them.

Passenger Types

In this section you can add new Passenger Types and edit or remove existing ones. Any items created in this section will appear on the Passenger Type field within the passenger form

Reports

Reports Manager

The report manager gives you the tools to drill into the data associated with a community transport group. You can filter and view the data as needed and then export it to Microsoft Excel to report on it further.

Bookings

  • Booking Summary (Basic) - This is a date filtered report to show the key information relating to a booking
  • Booking Summary (Funding Stream + Service) - As basic but includes the Funding Stream and Service to group the data
  • Booking Summary (Funding Stream) - As basic but includes the Funding Stream to group the data
  • Booking Summary (Purpose + Aids) - As basic but includes the Purpose and Aids to group the data
  • Booking Summary (Purpose) - As basic but includes the Purpose to group the data

Drivers

  • DBS Expired - This report will show any driver whose DBS check has expired
  • Dementia Awareness Training Expired - This report will show any driver whose DAT has expired
  • Driver Familiarisation Training Expired - This report will show any driver whose DFT has expired
  • Driver Training Expired - This report will show any driver whose Driver Training has expired
  • First Aid Training Expired - This report will show any driver whose First Aid Training has expired
  • Licence Check Required - This report will show any driver whose Licence Check is required
  • Licence Expired - This report will show any driver whose Licence has expired
  • Manual Handling Expired - This report will show any driver whose MHT has expired
  • Safeguarding Training Expired - This report will show any driver whose SGT has expired

Finance

  • Invoice Report - This report will show a list of all booking fees within a date range
  • Invoice Summary Report - This report will show a summary of financial data grouped by funding services

System

  • Audit Report - This report shows a list of all actions made within the application for auditing

Vehicles

  • 2 Year Tacho Due (1 Month) - This report will show any vehicle whose tacho is due
  • 3 Month Inspection Due (1 Month) - This report will show any vehicle whose 3 Month inspection is due
  • 6 Month Inspection Due (1 Month) - This report will show any vehicle whose 6 Month inspection is due
  • MOT Due (1 Month) - This report will show any vehicle whose MOT is due
  • Service Due (1 Month) - This report will show any vehicle whose service is due
